Rental software

Rental software for people who would rather be outside

Take bookings online, hand out the gear, get paid. reservationbay runs the counter work so you can get back to the thing you actually started the business for.

No monthly subscription to start. Two plans lower your costs once you grow.

What reservationbay is

reservationbay is online rental software for businesses that hire out physical things by the hour, the day or the week. You add your locations, categories and objects; customers book and pay online; the platform keeps availability, contracts, deposits and payouts straight.

It runs on two engines that are billed separately. The software starts without a monthly subscription, because Flex is €0 a month at 2.95% per booking, and two further plans lower that commission as you grow, to 0% on Pro. Payments are a second, separate line, processed directly through the platform under your own brand.

Rental is seasonal, which is why the entry plan carries no monthly fee at all.

Inside the platform

The screen you would actually work in

Everything on this page ends up here: what is going out today, what is coming back, and what the month has actually earned.

Two locations here, but the shape is the same with one: the day at the top, the month underneath, and nothing to reconcile at the end of it.

The reservationbay dashboard, showing revenue, booking numbers and the day’s check-ins and check-outs.
The dashboard of a demo account. Every figure and customer on it is invented.

Questions

Frequently asked questions

Is reservationbay really free to start?

Yes. Flex has no monthly subscription, so you can set up locations, categories and objects and connect the integrations before you take a single booking. From then you pay 2.95% of each booking. Growth and Pro are optional and lower that rate as you grow.

Is there a monthly subscription?

Not to start. Flex is €0 a month and charges 2.95% per booking, so a month with no bookings costs you nothing. Growth (€49) and Pro (€149) are optional and exist to lower that commission to 1.5% and 0% once your volume makes a fixed fee cheaper. No per-user charge on any plan.

How do payments work?

Payments run directly through the platform, whitelabel, so your customers see your brand rather than ours. They are always billed separately from the software commission, at a rate that improves with your package. Supported methods include iDEAL, Bancontact, credit card, PIN and SEPA.

Do I need my own website?

No. You can share a booking link, or embed booking on a site you already have. If you have no site at all, you can build one in SitePack and connect it to reservationbay with the app. That gives you live availability and checkout under your own domain, without any development work.

Can I take a deposit?

Yes, as a pre-authorisation rather than a charge. The amount is held on the customer's card and released automatically when the object comes back in the condition it left in. If there is damage, you settle against the hold from the inspection flow.

Which languages does the platform support?

The renter-facing side is multilingual, so a customer can book in their own language while you work in yours. This site is published in English, Dutch, German, French, Spanish, Italian and Portuguese.
