How payments work
Payments on reservationbay are processed directly through the platform rather than through a payment provider you contract separately. Checkout is whitelabel, so your customers see your brand throughout, and the cost is invoiced separately from your software commission at a rate that improves with your package.
Keeping the two apart is deliberate. Payment processing is a genuine third-party cost with its own economics; folding it into a single percentage would hide which part of your bill is software and which is the payment network.
It also means the deposit flow works properly. A deposit is a pre-authorisation rather than a charge, and releasing it costs nothing — which is only possible when the platform controls the payment leg.
What your customers can pay with
Method availability is localised: Dutch and Belgian customers see what they expect, and international bookers get cards.
| Method | Where it matters | Typical use |
|---|---|---|
| iDEAL | Netherlands | The default for Dutch customers booking online |
| Bancontact | Belgium | The Belgian equivalent, expected by default |
| Credit card | International | Overseas bookings and deposit pre-authorisations |
| PIN | At your counter | Walk-ins paying in person |
| SEPA direct debit | Europe | Longer hires and recurring arrangements |
Holds that release themselves
The part that costs rental businesses the most time when it is done on paper.
- A deposit is held by pre-authorisation, so the money never leaves the customer's account unless you settle against it.
- The hold is released automatically when the object is checked back in clean.
- If there is damage, you settle against the hold directly from the inspection flow, with the photographs attached.
- Releases cost nothing — a released hold is not billed as a transaction.
- The customer sees the hold and the release in their own portal, which removes most "where is my deposit" emails.
Getting the money
Takings are paid out to your own bank account on a regular cycle, with the software commission and payment costs shown as separate lines so you can reconcile them against your own books.
Higher packages carry a sharper rate on every method. That is the main thing a package upgrade buys — not access to features you already needed.
Frequently asked questions
Can I use my own payment provider?
Payments run through the platform, which is what makes whitelabel checkout, pre-authorised deposits and automatic release behave as a single flow. If you have a specific contractual requirement, raise it with us before signing up rather than after.
Do my customers see reservationbay at checkout?
No. Checkout is whitelabel: your brand, your name on the statement. That matters in rental, where a customer who does not recognise the payer name is a customer who calls you.
Is payment cost included in the booking commission?
No. The software commission and the payment rate are separate lines on your invoice.
What does a deposit cost me?
Nothing to place and nothing to release. A pre-authorisation only becomes a billable transaction if you actually settle against it after damage.
When do I get paid?
On a regular payout cycle to your own bank account, with commission and payment costs itemised. Ask us for the current cycle and rate card if the timing matters to your cash flow.
