Campervan rental software, in short

reservationbay runs campervan and caravan hire: customers book a date range, provide licence details, sign a detailed rental contract and pay a deposit held by pre-authorisation. You inspect and photograph the vehicle on collection and return, and settle against the hold only if something is wrong.

Campervan rental is the opposite of bike hire. Bookings are few, long and worth a great deal each, the vehicle is worth six figures, and a single dispute over a scratched panel can cost more than a week's revenue.

That shifts the value of the software from throughput to evidence. What matters is that the contract is signed, the condition is documented, and the deposit is genuinely held before the keys change hands.

  • Substantial deposits held by pre-authorisation, released automatically on a clean return.
  • Mileage recorded at collection and return, with excess charged against the booking.

  • Minimum hire periods and seasonal changeover rules per vehicle.
Questions

Frequently asked questions

Can I hold a large deposit without charging the customer?

Yes. Deposits are pre-authorisations, so the amount is held against the card without money moving. It releases automatically on a clean return, and you settle against it from the inspection flow if there is damage.

How does the inspection work?

You photograph the vehicle at collection and again at return, against a checklist you define. Both sets attach to the booking, which means a claim about a dent rests on dated photographs rather than recollection.

Can I charge for excess mileage?

Yes. Record the odometer at collection and return and charge the excess against the booking, settling it against the deposit hold where appropriate.

Can I set minimum hire periods?

Yes, per vehicle and per season. A van can require seven nights in August and three in October, with changeover days you control.

What about extras like bike racks and bedding?

They are add-ons with their own stock, so you cannot promise a bike rack to two vans leaving on the same morning.
